Find Your Capacity Leaks

Think about the work you complete every week. Where are you repeatedly spending time, delaying action, or becoming the bottleneck? This worksheet shows you, in one sitting.

Find Your Capacity Leaks

This free worksheet helps you see where your week is leaking capacity, in one sitting.

Seven areas, one table

For each area, you note the repetitive tasks, the hours per week, and how much it drains you: low, medium, or high.

  • Content and Marketing

  • Leads and Sales

  • Client Delivery

  • Email and Administration

  • Planning and Project Management

  • Reporting and Analytics

  • Finance and Recordkeeping

How to use it

Complete the table in one sitting. For each of the seven areas, write down the repetitive tasks, estimate the hours per week, and mark how much the work drains you: low, medium, or high.

Then name your biggest leak

Finish with two lines: your biggest capacity leak, and approximately how many hours per week you currently spend on it.

Look for tasks such as:

Copying information between tools.

Rewriting similar emails repeatedly.

Following up with leads or clients.

Turning notes into briefs, tasks, or summaries.

Searching for information across several places.

Organizing form submissions.

Reviewing recurring data.

Creating first drafts from existing information.

Categorizing, formatting, or updating records.

Repeating the same instructions every week.

You do not need the whole problem figured out before you act. Once you can name your biggest leak, you know exactly where to start.
